Use an RFI when your project needs a question to remain traceable from the first draft through the accepted answer and final distribution. It keeps the respondents, due date, decisions, and supporting files together.

Preparing a Draft gives you time to check the question and participants before the active workflow begins. Opening assigns a number, notifies respondents and subscribers, and places the ball in respondents' court. You can accept a response and keep the RFI open for more coordination, or accept it while closing. You can also close without sending an email and still record the distribution.
