Troubleshooting financial workflows

Check these common causes:

Financial Tools are missing

  1. Confirm the organization has the Financial package.
  2. Confirm you are in the intended organization and project.
  3. Ask an administrator to check the specific Financials, Commitments, Billing Periods, or Reports permission.
  4. If only one record type is missing, check restricted company access.

An invoice cannot be created

Check these common causes:

  • The Commitment has no SOV lines.
  • A prior invoice is not approved.
  • A newer Billing Period already has an invoice.
  • The selected period is not current and you lack permission to create an invoice for a closed period.
  • You do not have permission to submit invoices for that company.

An SOV line cannot be edited

The SOV may be locked, the contract may be executed, the line may come from a Change Order, or the line may already have invoice activity. Read the explanation beside the disabled control before unlocking the SOV or changing established history.

A Prime Change Order cannot be created

For Sage Intacct projects included in accounting integrations, the Budget must contain line items before you can create a PCO. Those lines often come from the Sage project estimate, but any valid Budget setup meets this requirement. Confirm the Budget and connection status with your accounting administrator.

An integration shows an authorization error

The connection must be reauthorized before data can be retrieved or synced again. Do not recreate records simply because the connection was interrupted; first review the links that already connect Constructable and accounting records.

A QuickBooks record failed

Common causes include an outdated Customer or Vendor reference, a transaction date in a closed QuickBooks period, or a duplicate document number. Correct the underlying issue, then retry the existing link instead of creating a duplicate.

A record is pending, linked, synced, suppressed, retired, or in error

  • Pending: Waiting to be processed
  • Linked: Source and destination are matched, but the latest supported sync has not yet completed
  • Synced: The latest supported change completed
  • Suppressed: The mapping intentionally skipped the record
  • Retired: The old link is no longer active
  • Error: The last sync needs attention

When you contact support, include the organization, project, record type and number, integration, status, visible error, and the action taken immediately before the problem. These details help the team trace the right record more quickly.
